Cancellation Policy for Reservations made through Arenal Evergreen.

The Arenal Evergreen team is happy to assist you during your visit to Costa Rica. We strive to provide you with detailed and concise information for each service booked through us. Here you will find some of our cancellation policies in case you need to make any changes or cancellations to any of the services booked.

 

As we offer customizable packages, these general policies may not cover your specific situation. Feel free to contact us for more details or if you have any questions.

 

Some services you can reserve are provided directly by Arenal Evergreen and others are contracted out to third parties. We do this to guarantee that you will receive excellent quality service, exactly as booked.

 

Our list of service providers includes renowned companies such as: Arenal Rafting, Desafío Adventure Company, Místico Park, Wave Expeditions, Jacamar Naturalist Tours, Gersan Horses, Canoa Aventura and the top hotels in the area such as Baldi Hot Springs, Tabacón Thermal Resort, Hotel Los Lagos, Arenal Paraíso Hotel, Arenal Montechiari, and Casa Luna Hotel.  In these cases, we must adhere to their cancellation policies.

 

Cancellation policies vary on holidays and during peak season.  Please contact us for more details.  

General and Cancellation policies

Cancellation Policies for Transportation Reservations:

  • All Private Transportation Service cancellations must be sent in writing to the email address from which we have confirmed your reservation. There is no charge if cancellation is made at least 24 hours in advance.  
  • All cancellation requests must be sent in writing to the email from where we have confirmed your reservation. There is no charge if cancellation is made at least 24 hours in advance.  
  • Reservations canceled within 24 hours will be charged the full amount.
  • In the event of not showing up for the reserved activity (no show), you will be charged the full amount.
  • Changes to any reservations must be made in writing and confirmation is subject to availability.
  • For private transportation services a maximum waiting period of 30 minutes is established before the reservation is declared a no show.  
  • For shared transport services there is a maximum waiting period of 10 minutes before the reservation is declared a no show.
  • For transportation services from the airport, please send specific flight information, so we can track your flight and calculate the approximate time of departure.
  • Waiting time for transportation services from the airport is flexible and in accordance with variables that may influence an increase in wait times.

 

Detail of Cancellation Policies for Excursion (Tours) Reservations

  • Reservations are confirmed upon receipt of 50% of the total package cost. This amount ensures the availability of the reserved activities.
  • All packages, without exception, must be paid in full at least two days in advance.
  • Requests to change reserved activities are subject to availability.
  • Prices may vary depending upon the time of year services are requested, such as peak season and holidays.
  • Any cancellation or modification of tours or activities must be sent in writing to the email from where the reservation has been confirmed. There is charge if notice is given more than 24 hours in advance, or as indicated in special dates.
  • Tour or activity reservations cancelled less than 24 hours prior to the reservation will be charged the full amount. There are no refunds for cancellations within 24 hours of the start time.
  • Tour or activity reservations cancelled at the last minute will be charged the full amount.
  • If a client does not show up for the activity (no show), they will be charged the full amount. 
  • For tour services there is a maximum waiting period of 15 minutes before it is declared a no show.
  • There are no refunds if a client arrives to a location and changes their mind or decides not to participate
  • If due to inclement weather or the guide decides the activity cannot be safely done, the amount paid will be refunded.

Detail of Cancellation Policies for Hotel reservations:

  • With respect to reservations of Hotels or Vacation Packages that include lodging, both modifications and cancellations are subject to the policies of each establishment, including any variation in seasonal policies.
  • All reservations will be confirmed once a deposit of 50% of the total amount of the package is received. This amount ensures the availability of both activities and selected accommodations.
  • All packages, without exceptions, must be paid in full at least three days in advance.
  • Modifications to accommodations are subject to availability.
  • Lodging services cannot be cancelled within 30 days of the reserved date.
  • Prices of vacation packages are subject to change according to the season in which the services are requested.
